Event Registration FAQs

Sommer Sports has a no refund policy, however you may be eligible for a partial race credit or event transfer.  Please visit our Registration Policies page to view the options available.
 

For multisport events sanctioned by USAT, No! In accordance with USA Triathlon rules all athletes must pick-up their own packet and show a photo ID at check-in. USAT members must also show proof of current USAT membership to avoid having to purchase a one-day license.

For most running events, Yes!  Unless specified on the event registration page, runners can pick-up packets for other runners. 
 

All race registration changes will incur a $10 change fee, plus any additional registration fees if you are moving up in distance.

Registration Changes are not permitted once BIB numbers have been assigned.

Email registration@sommersports.com with your request prior to race week to ensure the change is processed.
 

For many events, up to 7-10 days prior to the race, you can do this yourself by editing your race registration via RunSignUp.com.  To learn more about how to change your registration, please click on the following link - https://help.runsignup.com/support/solutions/folders/17000128775

To request a change after the pre-event cutoff date, please email registration@SommerSports.com. Once bib numbers have been assigned, a small fee may be required to complete the transfer.

 

Bib exchanges are permitted for running and triathlon events. The fee to transfer your registration to a new athlete is: 

Running event- $10

Triathlon event- $25

Bib exchange requests must be made in writing to info@sommersports.com within 14 days of the event date. The name and email address of the new athlete should be included in the written request.

Deferrals are not permitted unless you are a Sommer Sports Maniac Club member. To learn more about the club, click here. 

Most Sommer Sports Events can accommodate AWD participants requiring a guide for successful and safe participation.  There is no charge for the guide to participate, however if the guide wishes to receive the event swag (shirt, medal & goodies), there is a minimal fee of $25 to cover the costs of those items.  To register a guide, please contact info@SommerSports.com to receive registration information.

In most cases, Sommer Sports defers to the best judgment of the parent/guardian as to the fitness level and experience regarding appropriate participation of younger athletes. Select endurance events like the 140.6 distance of our Great Floridian Triathlon have minimum age requirements posted on their respective websites.

Yes.  If you would like to receive a military discount please email registration@sommersports.com a copy of your CURRENT military ID or driver's license with the military designation and we will provide you with a discount code. Please be sure to include which event you are looking to register for.

Triathlon-Duathlon FAQs

All Sommer Sports triathlons are sanctioned by USA Triathlon and wetsuit use is in accordance with established USAT rules. The current rule is as follows:

4.4 Wet suits. Each age group participant shall be permitted to wear a wet suit without penalty in any event sanctioned by USA Triathlon up to and including a water temperature of 78 degrees Fahrenheit. When the water temperature is greater than 78 degrees, but less than 84 degrees Fahrenheit, age group participants may wear a wet suit at their own discretion, provided however that participants who wear a wet suit within this temperature range shall not be eligible for prizes or awards. Age group participants shall not wear wet suits in water temperatures equal to or greater than 84 degrees Fahrenheit. The wetsuit policy for elite athletes shall be determined by the USAT Athletes Advisory Council. The AAC has set the wetsuit maximum temperature for elite athletes at 68 degrees for swim distances less than 3000 meters and 71.6 degrees for distances of 3000 meters or greater.  
Any swimmer wearing a wetsuit with a thickness measured in any part greater than 5 millimeters shall be disqualified. 

For triathlons and other multi-sport events that require body marking and staging of equipment in the transition area, we recommend arriving 1.5-2 hours prior to the race start.

Some events may require additional time due to parking or venue constraints. If so, that info will be posted on the event details page and will be communicated via the pre-race email confirmation.

FOR TRIATHLON: No.  It is against USAT rules to wear headphones or any type of listening device during any part of a triathlon.  This is a DISQUALIFIABLE OFFENSE and offenders will be removed from the course and the results.

No, swim caps are provided by the event.

Yes! You can ride almost any type bike you wish during a triathlon except for a recumbent.  The bike must have brakes on both the front and rear wheels and be able to roll freely without the pedals moving.  You will see all types of bikes in our sprint triathlons.

Virtual Racing FAQs

Currently all Sommer Sports owned runs and sprint triathlons offer a Virtual Race option. Longer distance triathlons do not have a virtual option at this time.

Yes!  All Virtual Racers receive a race shirt, medal and bib.   

Yes! We will allow for any changes from the Actual Event to the Virtual Option up until midnight the day of the event. (i.e if the race occurs July 3rd, you have until 11:59am on July 3rd to switch) Due to the last moment switch, we cannot guarantee your shirt size, so please keep this in mind.  All requests should be made via email to Virtual@SommerSports.com.

The easiest way to track and upload your results is to use the RaceJoy app on your phone.  With this app, your results will automatically be uploaded to us.  Our races will be live on the Race Joy app 1 week prior to the live race until 1 week after the live race.

If you cannot use the RaceJoy App, or choose to use a different tracking device, please go directly to the race results page and click on the button that reads "Submit Virtual Results" to enter in your times manually.  

Both methods of tracking/uploading results will end one week after the live race.

We will start mailing out virtual race packets with T-shirts and medals the week after the live race to all that have submitted results.

No!  You can complete the race whenever and wherever it is convenient for you.  We just ask that you submit  your results within 1 week after the live race.

Race Timing & Awards FAQs

Preliminary results can change often until they are marked as official two weeks following the race. The most common reasons for changes include:

  • An athlete may have originally had an incorrect age, gender, or event category listed in their database record.
  • Starting in the wrong swim wave.
  • Racing with the wrong timing chip
  • A reversed triathlon penalty
  • Finish time recovered for an athlete with a defective or lost timing chip

For running events, the disposable timing tags are affixed to the back of the race bib.  When you receive your race bib, it is timing ready.

Sommer Sports multisport events are timed with battery powered pro-chips and are distributed the morning of the event.  Multisport chips must be returned  following the race or the participant will be billed a $65 replacement cost.  

Gun time is based on the amount of time it takes you to cross the finish line after the starting horn/gun or verbal start of the event.  Chip time is based on the amount of time it takes you to cross the finish line after you cross run start line.

In this case the race timing is based on chip time and the person you are referencing most likely started further back from the start line than you did.  Final times are calculated based on the time the runner leaves the start line, so that person would have more time deducted from their gun time finish, giving them a  faster overall time.  

Post event awards can be picked up from our office in Clermont during somewhat normal business hours up to 7 days after the event.  You can also request that the award be brought to an upcoming Sommer Sports event for you to claim at packet pick-up.  Please call or email us to request either.

Another option is to request that your award be mailed to you. There will be a small fee associated with this to cover postage and handling.  The fee varies based on the size and type of award being mailed. Please email info@SommerSports.com for more info.
